Teams Transcript to Word

Teams and Zoom both emit a WebVTT, and they are not the same download. If the meeting recap already saved a .docx, you are done. This page is for the .vtt.

  1. Download the transcript, not the recording In the Teams meeting recap, download Transcript. Choose .vtt when you want this converter. Choose .docx when Teams already offers Word — then stop, and do not run that file through here.
  2. Reject the chat and the recording Meeting chat is a different pane. The .mp4 has no cues. A paste with no --> line and no speaker-plus-clock blocks will not become paragraphs.
  3. Open the VTT and look for voice tags or arrows Teams WebVTT often uses <v Name> or a name in the cue. Those become bold speakers. A file that is only captions with no name merges into one voice.
  4. Drop it with merge on Short caption lines from one person should join. If the preview alternates names correctly, download. If every line is the same bold name, the VTT never labeled the other people.
  5. Keep the .vtt if anyone will rewatch the meeting The Word file is notes. Seeking in Teams still uses the transcript Teams stored. Editing a sentence in Word does not correct the recap.

The recap can already be Word

Microsoft Teams meeting recap lets you download the transcript. One of those downloads is a .docx Teams built. Another is WebVTT. People search “Teams transcript to Word” after they saved the .vtt because a teammate asked for Word, or because the Word download was not the option they clicked. If the .docx is already in the folder, open it. Pasting a Word document into a caption converter does not improve it, and this tool will not find cues in it.

The .vtt is the file for this page. It should start with WEBVTT and contain --> lines. Speaker names, when Teams wrote them, show up as voice tags or as text at the start of the cue. Those become bold labels. Consecutive lines from the same person join when Merge same speaker is on and the gap is about 2.5 seconds — the usual case for a meeting, where Teams chops a sentence to caption length.

What to leave out of the paste

The recording is an .mp4. The chat is a separate list of messages. Neither one is a transcript. A recap page also carries attendance and a short AI note in some tenants. Copy the transcript file, not the surrounding page. If the preview says no cues were found, you did not drop the VTT.

This is not the Zoom workflow, even though both products say “transcript” and both can emit VTT. Minutes versus a record

Keep Show timestamps on when the document has to answer “when was that said.” Turn them off for minutes that should read as prose. Do that before you download, using the two links on this page, so you are not stripping clocks by hand inside Word and losing the only copy. Download teams.docx after the preview shows more than one speaker, or after you have decided an unlabeled file is acceptable.

Format details that are not specific to Teams — cue settings, voice tags, what WebVTT styling is dropped — stay on VTT to Word. This page only exists so a Teams recap is not flattened into the generic VTT instructions or mistaken for Zoom.

Teams already downloaded a .docx. Should I convert it?

No. Open that Word file. This page is for the transcript .vtt from the meeting recap. The converter does not read .docx, .mp4, or the meeting chat.

Is a Teams VTT the same as a Zoom VTT?

Both are WebVTT, and both can include speaker names, but they come from different products. Drop a Teams file here. Use the Zoom page when the download is from zoom.us. The homepage VTT page is the format owner when the file is WebVTT and not a specific meeting app.

The preview is one long voice. Where are the other people?

The VTT cues did not label them. Teams sometimes puts the name in a voice tag and sometimes does not, depending on the transcript. This site does not detect speakers from audio. Add [Name] in the file or accept a single voice.

Will editing the Word file fix the Teams recap?

No. Seeking and playback in Teams use the transcript Teams stored. The .docx is notes for people. Keep the .vtt if you need the clocks.
